Usystems includes optional modules (inventory, HR and payroll, manufacturing, branches, multi-currency) that you can enable based on your company's needs. Each feature adds new menus, documents, and reports to your system. You can enable features during initial setup or turn them on later as your business grows.

Before you start

  • You need admin permissions to enable features.
  • Enabling a feature makes it available system-wide to all users with appropriate permissions.
  • Some features depend on others: for example, multi-currency requires proper exchange rate setup before use.
  • Once enabled, a feature generally cannot be disabled without support; plan carefully before enabling.

Steps

  1. Go to Settings → Company Setup or Settings → Features. Open in Usystems

  2. Look for a Features or Modules section that lists optional capabilities (Inventory, HR, Manufacturing, Branches, Multi-Currency, etc.).

  3. For each feature you want to enable:

    • Click the toggle, checkbox, or Enable button next to the feature name.
    • Read any on-screen instructions or warnings about enabling the feature.
  4. Click Save or Update to apply the changes.

  5. Refresh your browser or log out and back in to see new menus and features.

Feature overview

Inventory (Warehouse): Track stock levels, manage goods in and out, run inventory reports, and cost items. Required for businesses that buy and sell physical products.

HR and Payroll: Manage staff records, attendance, leave requests, and payroll processing. Required for companies with employees.

Manufacturing: Create bills of materials, track production runs, and costing. Required for businesses that manufacture or assemble products.

Branches: Create multiple business locations with separate inventory and accounting records. Required for multi-location operations.

Multi-Currency: Record transactions in multiple currencies and set exchange rates. Required for businesses that operate internationally or buy/sell in foreign currencies.

Accounting impact

Enabling features does not automatically change how past transactions are recorded. However, enabling inventory creates new asset accounts (Inventory, Cost of Goods Sold) and changes how purchases and sales are costed. Enabling manufacturing creates additional accounts and workflows for production costing. Enabling payroll creates payroll liabilities and GL posting rules. Consult with your accountant before enabling any feature that affects accounting.

Tips & common mistakes

  • Plan before enabling. Consider which features your business actually needs. Unnecessary features add complexity without benefit.
  • Enable early. Set up features during initial company setup when possible, before you have transactions in the system. Enabling features later can require data migration or recalculation.
  • Test after enabling. After enabling a feature, test the new menus and documents to confirm they work as expected.
  • Multi-currency requires setup. If you enable multi-currency, you must immediately set up exchange rates for all currency pairs you plan to use.
  • Manufacturing requires bill-of-materials. Before you can create manufacturing orders, you must first define bills of materials for your products.
