A document didn't post to the ledger

Find out why a document never reached the journal and restore missing ledger entries.

Symptom

A document (invoice, bill, payment, receipt, or other financial transaction) shows as saved or posted in the document list, but when you look at the journal or ledger, there are no entries for it.

Likely causes

  1. Document status is still "Draft" — the document was saved but never formally posted.
  2. Network or server error during posting — the save succeeded but the GL posting failed silently.
  3. Account was missing or inactive — the document tried to post but the account no longer exists or is inactive.
  4. Incorrect document configuration — the document type or template is not set up to post to the ledger.
  5. User lacks posting permission — the user saved the document but lacks the permission to post it.
  6. Currency or contact issue — the contact or currency was deleted or made invalid after the document was created.

Fix for each cause

If the document status is "Draft":

  1. Open the document (navigate to Invoices, Bills, Payments, etc.).
  2. Find the document and check its status field — it should show "Posted" or similar.
  3. If it shows "Draft", look for a Post button or Confirm button on the document page.
  4. Click the button to post the document. The journal entries will be created immediately.

If a network error interrupted posting:

  1. Open the document and check its status.
  2. If the status is uncertain, click the Post or Repost button (or choose the post action from the menu).
  3. Check the journal again to see if the entries now appear.
  4. If an error message appears, note it and proceed to the next fix.

If the account is missing or inactive:

  1. Open the document and review the account assigned to each line item.
  2. Go to Accounts → Chart of Accounts and verify that the account exists and is Active.
  3. If the account is inactive, either reactivate it or change the document to use an active account.
  4. Save and post the document again.

If the document configuration is incorrect:

  1. Check the document type (e.g., is it an Invoice or a Sales Receipt?).
  2. Go to Settings and look for Document Types or Print Templates to verify the configuration.
  3. If unsure, contact support with the document type name.

If the user lacks permission:

  1. Go to Users & Roles and check the user's group permissions.
  2. Ensure the user's group has Post to Ledger or Post Transactions permission for the relevant document type.
  3. If the permission is missing, add it and ask the user to try posting again.

If contact or currency is invalid:

  1. Open the document and check the customer/vendor contact and the currency.
  2. Go to Contacts and verify the contact still exists and is not archived.
  3. Go to Settings → Currencies and verify the currency is active.
  4. If either is missing, fix the document reference (change contact or currency) and save.
  5. Post the document again.

When to contact support

  • If you see a red error message when clicking Post, take a screenshot and contact support with the document ID and the full error text.
  • If the document posts successfully but you still see no journal entries after 1 minute, contact support and provide the document ID and the date range of the missing entries.
