Running the Stock Ledger report
Generate a detailed record of all inventory movements and balances for an item or warehouse.
The Stock Ledger report shows every transaction affecting your inventory—receipts, sales, transfers, and adjustments—with running balances. Use it to trace the complete history of any item and verify stock accuracy.
Before you start
- You must have permission to view inventory reports (usually granted to warehouse staff and managers).
- You need at least one item with recorded transactions (receipts, sales, or transfers).
- Decide which item(s), warehouse(s), or date range you want to examine.
Steps

Go to Reports → Inventory (or the reports section of your Usystems menu). Open in Usystems

Look for Stock Ledger in the available reports list.

Click Stock Ledger to open the report configuration.

(Optional) Choose an Item to filter to a specific product. Leave empty to see all items.

(Optional) Choose a Warehouse if your organization uses multiple warehouses. Leave empty to see all warehouses.

(Optional) Set a From Date and To Date to limit the transactions shown. Leave empty to see the entire history.

Click Run Report or Generate to execute the query.

The report will display a chronological list of all transactions with columns for date, transaction type, quantity, unit cost, and running balance.
Tips & common mistakes
- Start with a single item: If the report loads slowly or feels overwhelming, filter to one item first to understand the layout.
- Watch for zero-balance entries: Adjustments or returns may show balance changes; ensure they match your physical count.
- Use date filters for audits: Running a report for a single month or quarter makes it easier to spot discrepancies.
- Export before sharing: The report is read-only on screen; export to PDF or Excel if you need to send it to accounting or external stakeholders.
