POS register basics: product grid, cart and checkout
Learn how to ring up sales, manage the cart, and complete a transaction at the POS.
The POS register is where you ring up customer sales. It works like a physical register but is organized into three main sections: the product grid (where you select what to sell), the shopping cart (what the customer is buying), and the checkout (where you complete the sale and take payment).
Before you start
- You need access to the POS module and a register assigned to your role.
- A product grid must be set up with items to sell (see "Setting up the POS product grid").
- If taking a named customer sale, the customer should be added to the system first.
- Know your organization's payment methods (cash, card, balance, etc.).
Steps
-
Go to Point of Sale → Register. Open in Usystems
-
If a customer is named, select them first (see "Selecting a customer at the POS"). Otherwise, you are ringing up a walk-in sale.
-
Add items to the cart:
- Click on a product in the grid on the left or in the center of the screen.
- The product is added to the cart on the right; the quantity is 1.
- To add more of the same item, click it again.
- To change the quantity for an item in the cart, tap the qty field and type a new number.
-
Adjust the cart as needed:
- To remove an item, click or swipe Delete next to it in the cart.
- To clear the entire cart, use the Clear or Reset button (if available).
- If your organization allows discounts, apply them to individual lines or the whole sale (see "Tips").
-
When the cart is complete, click Checkout or Complete Sale.
-
On the payment screen, choose the payment method: cash, card, customer balance, or a combination. Payment methods guide
-
Enter the amount tendered (if cash) or confirm the payment method, then click Confirm or Complete.
-
The register shows a receipt. Optionally, print it or email it to the customer (if enabled).
Accounting impact
Each sale creates a sales receipt or order, which credits the sales revenue account and debits the cash (or receivable) account, depending on the payment method.
Tips & common mistakes
- One item at a time: Click each product grid item individually; the register adds 1 unit per tap. Dragging or multi-select is not available.
- Quantity field: If you need 5 units of an item, click it once, then edit the qty field directly instead of clicking five times.
- Cart totals: The register shows subtotal, tax (if applicable), and the final total automatically.
- Voiding a sale: If a transaction fails or needs to be undone, ask your manager how to reverse it (this is not a self-service action at the register).
