Selecting a customer at the POS

Link a POS sale to a named customer to track credit, discounts, or history.

When you ring up a sale at the POS, you can link it to a named customer (so the sale is credited to them, discounts or customer balances apply) or process it as a walk-in (cash-only, no customer record). Named sales are recorded in the customer's history and may affect their balance or credit terms.

Before you start

  • Customer names must already exist in your system. If a customer is not in the list, ask an admin to add them first (see Contacts or Customers in your system).
  • Know whether the sale qualifies for customer-specific discounts or should use a customer balance or advance.
  • If processing a walk-in sale with no customer record, you can skip this step and proceed directly to checkout.

Steps

  1. Go to Point of Sale → Register. Open in Usystems

  2. At the top or side of the register, look for a Customer field or Select Customer button.

  3. Click on the customer field (or the search icon next to it).

  4. A customer list or search box appears:

    • Type the customer's name to search.
    • The system filters the list in real time.
    • Click on the customer's name to select them.
  5. Once selected, the customer's name appears at the top of the register. Their balance or credit limit (if applicable) is also shown.

  6. If you need to change the customer before checkout, click the customer field again and select a different one.

  7. If you selected the wrong customer and cannot find a way to clear it, you may need to clear the entire cart and start over.

  8. Proceed with adding items and checkout as normal (see "POS register basics").

Accounting impact

When a sale is linked to a customer, the sale is recorded under their account in Accounts Receivable (if on credit) or against their balance (if prepaid). Walk-in sales are treated as anonymous cash sales.

Tips & common mistakes

  • Walk-in vs. named: if the customer is not in your system and you do not have time to add them, process the sale as a walk-in (no customer selected). The cash is received but no customer account is affected.
  • Search is fast: you do not need the exact name. Typing a partial name (e.g., "Ali" or "Company") usually finds the customer.
  • Balance applies instantly: if the customer has a prepaid balance or advance, it will be available at checkout.
  • No undo mid-sale: once you add items to the cart after selecting a customer, changing the customer may require clearing the cart first.
