Q: Why does the POS grid take a long time to load?
A: A slow-loading product grid is usually caused by a large number of products (hundreds or more) or a slow internet connection. Ask your admin to:
- Limit the initial product display to a smaller set (e.g., only products from a selected category or warehouse).
- Configure filters to narrow the product list on startup.
- Check your network connection; if your internet speed is slow, contact your service provider or move closer to your Wi-Fi router.
Q: Can I use my phone as a POS register?
A: Usystems POS is designed for computers or tablets with a web browser. A smartphone may work in theory, but the small screen can make it difficult to use the product grid and sale forms comfortably. For the best experience, use a device with a screen of at least 7–8 inches (tablet) or larger (desktop/laptop).
Q: What should I do if a sale fails to save?
A: If you click "Complete Sale" or "Checkout" and nothing happens, or you see an error message:
- Check your internet connection. POS requires an active connection to the Usystems server.
- Try the sale again in a few seconds.
- If the error persists, take a screenshot of the error message and contact your support team. Do NOT reload the page immediately, as the sale may actually have been saved and reloading could create a duplicate.
Q: How do I refund a customer from the POS?
A: Go to Refunds Open in Usystems to process a refund. You will need the original sales receipt number or transaction ID. Refunds are typically not completed directly from the POS register; instead, use the Refunds page to record the return. Consult your admin or your business's refund policy for the exact process.
Q: Can I print a receipt manually if the printer doesn't work?
A: Yes. If your printer is unavailable, you can take a screenshot of the sale (use your device's screenshot function) or write down the transaction details by hand. Q: What is the difference between "Cash" and "Card" payment methods?
A: "Cash" records that the customer paid in physical currency (coins or notes). "Card" records that the customer paid via a payment card (credit or debit) or digital payment. The accounting impact is the same; the payment method is logged for your records and reporting.
Q: Can I change a sale after it is complete?
A: Once a sale is completed and recorded in Usystems, you generally cannot edit the original sale. If a correction is needed, you should process a refund (to reverse the original sale) and then create a new correct sale. Consult your admin or the refund policy for your business.
Q: What happens if I close the POS register window without completing the sale?
A: If you close the window before clicking "Complete Sale," the sale will NOT be saved. Any products you added will be lost. Always ensure you click the final "Complete Sale" or "Checkout" button and wait for a confirmation message before closing the register.
