FAQ: Setting Up Queues
Common questions about creating and configuring queues in your facility.
Can I create a queue without assigning staff?
Yes. If you leave the Assigned staff field empty, any user in the system with permission to use queues can call and serve tokens from that queue. This is useful for shared queues in large facilities.
What happens if I change a queue's settings after tokens are already issued?
Changing the department or global setting mid-stream can affect how in-progress tokens behave. It is safest to make queue configuration changes during periods when no patients are actively waiting—for example, before opening hours or after closing. If you must change settings while the queue is in use, inform staff of the change so they know to call tokens accordingly.
Can the same user be assigned to multiple queues?
Yes. A user can be added to the Assigned staff list for as many queues as needed. This is common in smaller facilities where one receptionist manages multiple departments.
Do I need a separate queue for each department?
Not necessarily. If your facility has a single large waiting area and patients move to different departments, you might use one queue with global tokens. If each department has its own physical waiting area, separate non-global queues are clearer. The choice depends on your patient flow and physical layout.
Can I rename a queue after it is created?
Yes, you can edit the queue name at any time. However, if tokens have already been issued and printed with the old name, the printed tickets will still show the old name. The system itself will recognize the new name going forward.
What is the difference between a global queue and a non-global queue?
A global queue shares token numbers with other queues (e.g., tokens 1–50 across three departments). A non-global queue has its own separate counter (e.g., tokens 1–30 in Emergency, tokens 1–30 in Triage). See "Global tokens: one token across departments" for more.
Do I need to delete a queue to remove it from the system?
Most queues can be archived or disabled rather than deleted. Check your facility's preferences: some systems allow soft deletes (archiving) so the queue history is preserved. Ask your admin or support if you want to fully remove a queue.
Can I use the same queue for different types of appointments (walk-in vs. scheduled)?
Yes. Usystems treats appointments and walk-ins the same way in the queue system. Both types of patients receive tokens and can be managed in the same queue. The queue does not distinguish between them—it only tracks the patient's position in the sequence.
