How many warehouses can I create?

There is no hard limit on the number of warehouses you can create in Usystems. You can have as many as your business needs—though most organizations start with 2–5 locations. Keep warehouse names clear to avoid confusion.

Can I edit a warehouse after creating it?

Yes. Go to Settings → Warehouses, find the warehouse in the list, and click Edit to change the name, code, or description. You can edit warehouses at any time.

Can I delete a warehouse?

Once a warehouse has been used (contains products, is referenced in documents, or has stock history), it cannot be deleted. This is a safety measure to protect data integrity. If you no longer use a warehouse, you can rename it to mark it as inactive (e.g., "Old Warehouse - Closed"), or contact your support team if you need assistance.

How do I move stock from one warehouse to another?

Depending on your system setup, you may use a Stock Transfer or Inventory Adjustment document to move products between warehouses. Consult your system's documentation or ask your admin if this feature is available.

What happens when I receive inventory? Which warehouse does it go to?

When you create a receipt or purchase order, you must specify the destination warehouse. The newly received stock is assigned to that warehouse only. Choose carefully—products in different warehouses have separate stock counts.

If I have multiple warehouses, can I see the total stock across all of them?

Yes. Most inventory reports and product-detail views show stock for each warehouse. Some reports offer a Total or Summary view that combines all warehouses, depending on your system configuration.

Can different users access only specific warehouses?

This depends on your user permissions and system configuration. If your admin has set up warehouse-level permissions, you may see only the warehouses you are assigned to. Speak with your admin to request access to additional warehouses if needed.

What if I accidentally receive inventory to the wrong warehouse?

You have a few options:

  1. Use a transfer or adjustment document to move the products to the correct warehouse (if your system supports it).
  2. Create a negative adjustment in the wrong warehouse and a positive adjustment in the correct one.
  3. Contact your admin or support team if you need help correcting the record.

Act quickly after realizing the mistake, as errors can affect stock reporting and fulfillment.

Do warehouse names need to be unique?

Yes, each warehouse name must be unique. The system will prevent you from creating two warehouses with the same name. If you need similar names, add a location code or number (e.g., "Warehouse - Kabul" vs. "Warehouse - Herat").
