Creating warehouses (inventories)
Set up a new warehouse location to organize and track your inventory.
A warehouse (also called an inventory) is a location where you store products. You can create multiple warehouses to track stock across different physical locations, or to organize inventory by type or department.
Before you start
- You must have admin access to the Inventory & Warehouse module.
- Decide on warehouse names and locations (e.g., "Main Warehouse," "Branch Store," "Pharmacy Counter").
- Each warehouse is independent—products and stock levels are tracked separately for each one.
Steps
-
Go to Settings → Warehouses and click New Warehouse. Open in Usystems
-
In the Name field, enter a clear name for the warehouse (e.g., "Kabul Main Store").
-
Optionally, fill in a Description to note the location, purpose, or address (e.g., "Ground floor storage room").
-
In the Code field (if shown), enter a short code for reference (e.g., "KBL-01"). This is optional but helpful for reports and quick lookup.
-
Click Save to create the warehouse.
-
The new warehouse now appears in the Warehouses list. You can use it immediately when creating products or receiving inventory.
Tips & common mistakes
- Use consistent naming: Create names that are descriptive and easy to distinguish. "Warehouse 1" is less helpful than "Main Warehouse - Kabul".
- Start with one warehouse: If you're just beginning, create one main warehouse first. You can add more as your business grows.
- Cannot delete after use: Once a warehouse contains stock or is referenced in documents, it cannot be deleted. Choose your names carefully.
- Activate the warehouse: After creation, verify that the warehouse appears in product stock lists and is available for receiving/issuing documents.
