A document won't save

Resolve errors and get your invoice, bill, or purchase order to save successfully.

Symptom

You click Save on an invoice, bill, purchase order, or other document, but it does not save. You may see an error message, or nothing happens and you are still on the form.

Likely causes (in order of probability)

  1. A required field is empty. Every document requires certain information (e.g., a contact, at least one line item, a date). If any required field is blank, the save will fail.

  2. You have entered invalid data in a field (e.g., wrong format or invalid value). A date field might require MM/DD/YYYY format, a quantity field must be a number, or an account field might reject an account type that is not compatible with the document.

  3. A line item is missing required information. Each line of an invoice or bill needs a product and quantity. If any line is incomplete, the document cannot save.

  4. The contact or product you selected has been deleted or is inactive. If the contact or a product on the document was deactivated after you selected it, the save may fail.

  5. A calculation or accounting rule rejected the document. For example, if a discount exceeds the total, or if an account configuration prevents the transaction.

Fixes

Check for error messages

  1. Look at the top of the form and the area around the Save button for any error message in red text or a red box.
  2. Read the error carefully; it usually tells you which field is the problem and why.
  3. Common messages include "This field is required" or "Invalid date format."
  4. Fix the problem as described in the message below.

Verify all required fields are filled in

  1. Look through the form and ensure the following are completed:
    • Contact (customer, vendor, or payee)
    • Date (in the correct format)
    • At least one line item with a product and quantity
  2. Hover over field labels—if there is an asterisk (*) or a red indicator, the field is required.
  3. Fill in any blank required fields and try saving again.

Check line item details

  1. Scroll down to the Items or Lines section of the document.
  2. For each line, verify that:
    • A Product or Service has been selected
    • A Quantity has been entered and is a valid number (no letters or special characters)
    • The Unit Price is correct (if shown)
  3. If any line is missing information, complete it or delete the line.
  4. Try saving again.

Verify the contact is active

  1. If the error message mentions the contact (e.g., "Contact not found"), the contact may have been deactivated.
  2. Go to Contacts and search for the contact you selected. Open Contacts
  3. If the contact shows a status of Inactive, click Edit and change the status to Active.
  4. Return to your document form and try saving again.

Verify products are active and available

  1. If the error mentions a product or service, go to Products or Services and search for the product. Open Products
  2. Check that the product is marked as Active.
  3. If it is inactive, edit it and change the status to Active.
  4. Return to your document and try saving again.

Check for date format errors

  1. If the error is about a date field, ensure the date is in the correct format.
  2. Most date fields accept MM/DD/YYYY format (e.g., 07/15/2026).
  3. Some fields accept YYYY-MM-DD format. Look for guidance next to the date field.
  4. Correct the date and try saving again.

Check for quantity and price errors

  1. Ensure all quantity and price fields contain only numbers and decimal points (no letters, commas, or currency symbols).
  2. For example, enter 100.50, not $100.50 or 100,50.
  3. If a discount field is present, ensure it does not exceed the document total.
  4. Correct any formatting errors and try saving again.

Reload the page and try again

  1. If the form seems to be stuck or unresponsive, reload the page (press Ctrl+R or Cmd+R on your keyboard).
  2. Re-enter your information carefully.
  3. Try saving again.

When to contact support

  • If an error message appears and you cannot understand what it means or how to fix it.
  • If you have filled in all required fields correctly and the document still will not save.
  • If the save button is not responding at all (no message, no reaction).
  • If you deleted a line or edited a field and now receive a different error message.
  • If a document that you previously saved successfully now shows an error when you try to edit it.
  • Provide the error message text and a description of the form (invoice, bill, PO, etc.) and what you were trying to enter.
