A report shows no data
Diagnose and resolve a report that returns empty results when you expect data.
Symptom
You open a report and it shows no rows or no data, even though you expect transactions or records to appear.
Likely causes (in order of probability)
-
The date range is too narrow or the wrong dates are selected. Reports are filtered by date by default. If your transactions fall outside the selected range, you will see no data.
-
An active filter is excluding the data you want to see. Many reports have filter options (e.g., account, contact, status). A single active filter may hide most or all results.
-
You have selected the wrong warehouse, location, or reference product. If your business uses multiple warehouses or product lines, the report may be scoped to a location with no relevant transactions.
-
No matching transactions exist for the period. The report is correct; there truly is no data for the filters you've applied.
-
The report requires data entry you haven't completed yet. For example, an inventory aging report requires stock adjustments or receipts to be recorded first.
Fixes
Check the date range
- Open the report you want to view. Look for a Date Range filter at the top or sidebar.
- Verify that the From and To dates include the period you are looking for.
- If the dates are wrong, adjust them and click Apply or Refresh.
- Open Reports
Review active filters
- Look for a Filters panel or button on the report page.
- Check all active filters (they are usually highlighted or listed visibly).
- If any filter is set too narrowly (e.g., a single account or contact), try removing it or broadening it.
- Click Apply or Refresh to see the updated results.
Verify warehouse or location selection
- If your report has a Warehouse, Location, or Product Line filter, check that you have selected the correct one.
- Try selecting All (if available) to see whether data exists elsewhere.
- Refresh the report.
Confirm that relevant data has been entered
- Check whether the transactions you expect have actually been created and saved.
- For sales, go to Invoices and verify that invoices are listed. Open Invoices
- For purchases, go to Bills and verify that bills are listed. Open Bills
- For inventory, go to Inventory and check stock levels. Open Inventory
- If the transactions do exist but the report is still empty, note which transactions are missing and contact support with those details.
Reset all filters to defaults
- Look for a Reset Filters or Clear Filters button on the report page (usually near the filter panel).
- Click it to remove all custom filters and return to the report's default state.
- Refresh and check whether data now appears.
When to contact support
- If the report is still empty after checking all of the above, and you are certain that matching transactions exist in the system.
- If a report that previously worked now shows no data (a regression).
- If you are unsure which filter or date range is correct for your use case, describe the transactions you are looking for and provide examples.
