A dropdown list is empty
Fix dropdown menus that show no options when you click them.
Symptom
You click on a dropdown menu (e.g., to select a contact, product, account, or warehouse) and the list is empty or shows no options.
Likely causes (in order of probability)
-
The related data has not been created yet. You cannot select a contact if no contacts exist, or a product if no products have been added.
-
You have not entered a search term or the term does not match any option. Some dropdowns require you to type to search. If your search term is too specific or misspelled, no results will show.
-
A filter or permission setting is restricting which options are available. Your user role may not have access to all contacts or accounts, or the dropdown may be filtered by status, warehouse, or product type.
-
The page has not finished loading the dropdown data. Large lists (many products, contacts, or accounts) may take a moment to populate.
-
The dropdown is filtered by a parent field you have not yet filled in. For example, a product dropdown might only show items from the selected warehouse.
Fixes
Create the missing data
- If the dropdown is empty because no data has been created, navigate to the relevant data entry screen and create at least one record:
- To add contacts: go to Contacts or Vendors or Customers. Open Contacts
- To add products: go to Products or Services. Open Products
- To add accounts: go to Accounts (Chart of Accounts). Open Accounts
- To add warehouses: go to Settings and look for Warehouses or Locations. Open Settings
- After creating the data, return to your form and click the dropdown again.
Try searching with a different term
- Click the dropdown field and begin typing.
- If you see a text input box, clear it and try a shorter or more general search term.
- For example, instead of searching for "Acme Corp Ltd," try just "Acme" or "Corp."
- Wait a moment for the search to complete and results to appear.
Check your user permissions
- If you suspect that certain items are hidden due to permissions, contact your system administrator.
- Ask them to verify that your user role has permission to view the data (contacts, products, accounts, etc.) in the dropdown.
- Confirm that the items you are trying to select are marked as Active in the system (inactive items are sometimes hidden by default).
Fill in required parent fields first
- If the dropdown depends on another field (e.g., "select a warehouse first, then choose a product"), check that the parent field has been filled in.
- Go back and complete the required field, then click the dropdown again.
Wait and refresh
- If the page is loading data, wait 2–3 seconds for the dropdown to populate.
- If it is still empty, reload the page (press Ctrl+R or Cmd+R on your keyboard).
- Click the dropdown again.
Check the data status
- If the dropdown is for selecting records (like contacts), ensure the records are marked as Active.
- Many dropdowns hide inactive or archived records by default.
- If you know an inactive record should be visible, go to that record's page and change its status to Active.
- Return to the dropdown and try again.
When to contact support
- If you have created the data and it still does not appear in the dropdown.
- If a dropdown that previously had options is now always empty.
- If you cannot find or create the specific item you need to select.
- If the dropdown shows an error message instead of a list.
- If you believe the dropdown should be showing items but your permissions are preventing it, and you need help from an administrator.
