Working with multiple branches

What this does

The branches feature allows you to operate multiple locations (storefronts, warehouses, offices, or service points) within a single Usystems tenant, with separate inventory, staff, and financial visibility per branch while maintaining consolidated oversight.

Before you start

  • Permission required: You must have Administrator or Manager access to enable branches during initial business configuration.
  • Timing: Branches are enabled during the setup wizard when you configure your business settings. You cannot enable or disable branches after setup is complete without recreating your business configuration.
  • Applies to: All product types that support multiple locations (pharmacy, retail, restaurants, healthcare facilities, manufacturing sites).
  • Currency & inventory: Each branch can have its own inventory stock levels. Multi-currency support works across all branches.

Enabling branches

1. During initial setup Go to Settings → Setup Wizard (or complete the setup wizard on first login). Open in Usystems

2. On the Business Configuration step Look for the Branches toggle (labeled "Enable branches" or similar). Toggle it ON to enable multi-branch support.

3. Complete and save Finish the remaining setup steps. Your business configuration is now ready for multi-branch operations.

After branches are enabled

Once enabled, you can:

  • Assign inventory and stock to specific locations
  • Route sales and purchases through individual branches
  • Control staff access by branch
  • View branch-level performance in reports
  • Maintain separate but linked financial records per branch

Note: To add or edit individual branch locations, contact your administrator or refer to your location/warehouse management documentation, as branch setup depends on your product type and configuration.

Accounting impact

When branches are enabled:

  • Sales, purchases, and stock transactions are tagged with their origin branch
  • Journal entries remain consolidated at the company level for consolidated reporting
  • Each branch's revenue and expense accounts are aggregated into company-level financial statements
  • Trial balance and profit reports can be filtered or grouped by branch if your product supports it

Tips & common mistakes

  • Plan before enabling: Since branches cannot be toggled off after setup, ensure your business structure is clear before activating this feature.
  • Staff training: Brief your team on which branch they work in and how it affects their daily transactions.
  • Inventory allocation: Make sure inventory is correctly allocated to the right branches before opening operations.
  • Backup before setup: If possible, back up your setup progress in case you need to adjust branch settings during initial configuration.
