Products missing from the POS grid
Diagnose why products don't appear in the point-of-sale product list and how to fix it.
Problem
You open the POS register and the product grid is empty or shows only a few products, even though you know you have many products in the system.
Causes and solutions
Cause 1: Products are not marked as "available for POS"
Each product must be explicitly enabled for point-of-sale use. If a product is created but not flagged for POS, it will not appear in the grid.
Fix: Go to Products & Services → Products Open in Usystems, find the product, and check that it has a "Point of Sale" or "POS" checkbox enabled (look for language matching your system). Edit the product if needed and save.
Cause 2: Inventory/warehouse link missing
POS requires products to be linked to at least one warehouse/inventory location. If a product exists but is not associated with any warehouse, it cannot be selected at the register.
Fix:
- Go to Products & Services → Products Open in Usystems.
- Open the product and verify it is linked to a warehouse or inventory location (check the product's warehouse/inventory field).
- If the field is empty, select a warehouse and save.
Cause 3: User does not have permission to sell that product
Some users may be restricted from selling certain products or product categories by role or permission settings.
Fix: Ask your admin to check:
- Go to Users & Roles → User Groups Open in Usystems.
- Review the group or role assigned to your user account and verify that it includes permission to access products or the specific product category.
- If restricted, ask the admin to grant the necessary permissions.
Cause 4: Product is inactive or archived
Products marked as inactive or archived are hidden from the POS grid by default.
Fix:
- Go to Products & Services → Products Open in Usystems.
- Look for a filter or status field (usually near the top of the list).
- Adjust the filter to show inactive or archived products.
- Open the product and reactivate it by unchecking the "inactive" or "archived" flag.
Cause 5: Product category or type mismatch
If your business uses product categories (e.g., "Pharmacy", "Services", "Gas"), products may be filtered by type at the register, and the grid may only show certain categories.
Fix: Check if the POS register is filtered to show only specific product categories. If the register has a category filter dropdown, select "All" or the correct category to see all available products.
Tips
- Batch-check products: Use the product list filters to verify which products are enabled for POS before troubleshooting individual items.
- Test a new product: Create a simple test product, enable POS, link it to a warehouse, and save. Open the POS register in a new session to confirm it appears. If it does, the system is working; the missing products likely have one of the issues above.
- When in doubt, ask your admin: Permission restrictions and category filters are often configured at the business level, not by individual users.
