Setting up A4 document printers
Connect and configure standard A4 printers to print invoices, bills, reports, and other business documents.
Overview
An A4 printer is a standard office printer used to produce full-size documents such as invoices, bills, purchase orders, reports, and receipts on A4 paper. Setting up an A4 printer in Usystems lets you print business documents directly from the application with your company letterhead and formatted layout.
Before you start
- Permissions: You must be a system administrator or have hardware setup permissions.
- Hardware required: An A4 printer (laser or inkjet), USB or network cable, A4 paper, and toner/ink cartridges.
- Network access: If using a network printer, ensure it has a stable IP address and is reachable from your office network.
- Driver software: Download and install the printer manufacturer's driver for your operating system. Windows/Mac drivers are available from the printer maker's website.
- Print template setup: Optionally, configure custom print templates (letterhead, footer, etc.) for your documents.
Steps

Power on the A4 printer and connect the USB cable to your office computer (or connect to the network for network printing).

Install the printer driver from the manufacturer's website for your operating system. Restart your computer after installation to load the driver.

Go to Settings → Devices & Hardware by opening Settings → Devices & Hardware → Printers.
Open in Usystems -
Click Add Printer or select A4 Document Printer from the device list.

Choose the printer connection type:
- Select USB if directly connected to this computer.
- Select Network if the printer is on your office LAN; enter the printer's IP address.

Select your printer model from the auto-detected list (for USB) or enter the network printer's IP and port.

Test the printer by clicking Print Test Page. A test document should print successfully.

Configure print settings:
- Set Paper size to A4.
- Choose Orientation (portrait for invoices and bills; landscape for reports).
- Set Print quality (standard, high).
- Configure duplex (two-sided) printing if your printer supports it.

Optional: Set up custom print templates by navigating to Settings → Print Templates to add your company logo, letterhead, or footer to printed documents.
Open in Usystems -
Save the configuration. The printer is now ready for use; select it when printing documents.
Accounting impact
Printing documents does not affect accounting records. The document (invoice, bill, etc.) is recorded in the system when you create it; printing is for distribution or archival purposes only.
Tips & common mistakes
- Printer not appearing in the list: Ensure the printer driver is installed and the printer is powered on. Try restarting the Usystems application.
- Network printer unreachable: Verify the IP address is correct. Ping the printer from your computer to confirm network connectivity.
- Print job hangs or times out: Check that the printer is not offline, out of paper, or jammed. Clear the print queue on your computer.
- Poor print quality or missing sections: Update the printer driver to the latest version. Ensure you are using the correct paper type and toner/ink levels are sufficient.
- Wrong paper size or orientation: Verify the print template settings match your document type before printing a large batch.
