Uploading Files via QR from a Phone
The QR upload feature lets you quickly upload documents, reports, or images from your phone to Usystems by scanning a QR code. This is especially useful in clinical or warehouse settings where you want to avoid typing long URLs or managing email attachments—just point your phone camera at a QR code and your file uploads directly.
Before you start
- Mobile device: You need a smartphone with a camera and internet connection.
- QR code: Your administrator or the person running the upload service will provide a QR code link or URL. This code is usually printed or displayed on a monitor next to the workstation.
- File ready: The document or image you want to upload should be in a format the system accepts (typically PDF, JPG, PNG, or similar image/document formats).
- Authentication (if required): Some setups require you to log in on your phone first. Your administrator will tell you if login is needed.
Steps

Locate the QR code at your workstation or on the monitor.
- Your administrator or supervisor will show you where the QR code is displayed or printed.
- The QR code is a square, black-and-white pattern that your phone camera can read.

Open your phone camera or QR scanner app.
- On most phones, open the camera app and point it at the QR code.
- Many modern phones (iPhone, Android) automatically recognize QR codes and show a link notification.
- If your phone does not auto-detect, use a dedicated QR scanner app from your app store.

Scan or tap the link.
- Point your camera at the QR code for a second or two until your phone recognizes it.
- A notification or link should appear—tap it to open the upload page in your browser.
- You will be taken to a file upload form on your phone screen.

Choose the file to upload.
- Tap Choose File or Select File on the upload form.
- Browse your phone's photo gallery, documents, or files folder.
- Select the PDF, image, or document you want to upload.
- For clinical or patient reports, you may need to enter additional information (patient name, ID, or a code) before uploading. Your administrator will tell you what to fill in.

Submit the upload.
- Review the file and any details you entered (patient name, document type, etc.).
- Tap Upload or Submit to send the file.
- A confirmation message will appear when the upload is complete.

Keep the confirmation code (if provided).
- The system may display a verification or reference code after upload.
- Save this code or take a screenshot—you may need it to track the document later.
Tips & common mistakes
- QR code not recognized? Make sure the code is in good light, not crumpled, and fully visible in your phone's camera frame. Try moving closer or to a different angle.
- Can't find the file on my phone? Check that the file is saved to your phone's local storage or cloud storage (Google Drive, OneDrive, iCloud Photos, etc.). If uploading a photo, use the Photos or Gallery app to locate it.
- Upload failed or timed out? Check your mobile internet connection (WiFi or data). If your connection is weak, move closer to the router or try again when the signal is stronger.
- What happens after upload? The file is sent to Usystems and may be processed (scanned for patient data, converted to a report, or stored for review). Your administrator will confirm when the file is ready to use.
- Privacy & security: Only upload files on secure networks (your workplace WiFi, not public hotspots) and do not forward the QR code link to unauthorized people.
