What is the Setup Wizard?

The Setup Wizard is an interactive guide that runs the first time you open Usystems after creating your account. It walks you through six essential steps to establish your company profile, chart of accounts, products, and initial team members.

Why it matters

A properly configured system ensures accurate financial records from day one, avoids costly rework, and gives your team the right access and tools to start working immediately. The wizard enforces the minimum required setup—you cannot begin normal operation without completing all six steps.

How it works in Usystems

The wizard appears automatically on first login. Each step:

  1. Presents a form or series of fields specific to that stage.
  2. Saves your input to the system.
  3. Advances to the next step when you select Continue.
  4. Can be revisited from settings after setup is complete.

The six steps are:

StepFocusExamples
Step 1Company profileName, logo, address, tax ID, contact details
Step 2Business configurationIndustry type, accounting variant (e.g., accounting-inventory for retail)
Step 3Accounting structureCreation of required chart-of-accounts entries (revenue, expense, liability, asset accounts)
Step 4Products & servicesAdding your first inventory items, services, or both—templates for your sales documents
Step 5Opening balancesHistorical account balances as of your go-live date, validated to ensure debit=credit
Step 6Admin user & rolesCreating your first full-access admin account and assigning permission groups (e.g., sales, finance, inventory)

Where you see it

  • First login: appears automatically.
  • Settings menu: you can return to the wizard at any time to edit company details, add more products, or adjust account setup.

What happens after setup?

Once all six steps are complete, the wizard closes and you can begin creating documents (invoices, purchases, etc.), managing inventory, and running reports. If your setup was incomplete or incorrect, you may see validation warnings in reports or accounting journals—contact support if you encounter issues.

Key principles

  • One admin user minimum: Step 6 ensures at least one person with full administrative access.
  • Accounting must balance: Step 5 validates that opening debit balances equal opening credit balances.
  • Products drive documents: the items you add in Step 4 populate sales and purchase forms.
  • Configuration is not locked: you can modify company details, products, and accounts after setup, but opening balances can typically only be adjusted before the first transactional entry.
