How sales create inventory exits automatically

In Usystems, when you create an Invoice or Sales Receipt for goods sold, the system can automatically generate a warehouse Exit (or stock issue) document when you mark the sale as complete or delivered. This keeps your warehouse stock synchronized with your sales without manual re-entry.

How it works

Invoice → Exit: When you create an invoice for inventory items, you list the products and quantities sold. Once the sale is complete and you confirm delivery, Usystems creates a corresponding Exit record in the inventory system. The item names and quantities are copied automatically.

Sales Receipt → Exit: Similarly, when you create a sales receipt (a simpler form of sale), you can trigger an automatic Exit by marking the receipt as delivered. The system treats this as permission to reduce your warehouse stock.

Why this matters

Accuracy: Your warehouse inventory balance is always in sync with your sales, preventing overstock situations where you claim to have more goods than you actually do.

Automatic cost tracking: When stock leaves the warehouse, Usystems automatically calculates and records the cost of goods sold (COGS), feeding into your profit-and-loss reports.

No double-entry: Sales and inventory data flow together; you enter items once on the sales form, and both the financial and warehouse records update.

In Usystems

• When you create or complete an Invoice, look for a Mark as Delivered or Confirm Delivery button. Clicking it creates an Exit if one doesn't already exist.
• When you create a Sales Receipt, the form includes an option to automatically issue stock—check the settings for this.
• You can always see the linked Exit from the invoice or sales receipt detail page.
• If you need to adjust quantities or issue from a different warehouse after creation, you can edit the Exit separately without affecting the original sale.
