Transferring stock between warehouses

Move inventory from one warehouse to another without affecting cost or sales.

If you operate multiple warehouses or storage locations, you may need to move stock from one location to another—for example, to balance inventory levels, consolidate stock before shipment, or reorganize your storage. Usystems lets you record these transfers and maintain an accurate picture of where your stock is located.

Before you start

  • You must have permission to manage inventory transfers.
  • You need at least two Warehouses set up in your system.
  • The stock you are transferring must be available (on hand) in the source warehouse.

Steps

  1. Go to Inventory → Transfer Stock and click New Transfer. Open in Usystems

  2. Choose the Source Warehouse (where the stock is now) from the dropdown.

  3. Choose the Destination Warehouse (where the stock is going).

  4. In the Items section, add each product you are transferring:

    • Enter the Product name (or search for it).
    • Enter the Quantity to transfer.
  5. Check the Date is correct (it defaults to today).

  6. Review the items and quantities to make sure they are accurate.

  7. Click Save to record the transfer.

Once saved, the stock quantity decreases in the source warehouse and increases in the destination warehouse. The total cost of the inventory remains the same (transfers don't create a gain or loss).

Accounting impact

Transfers between warehouses do not create any accounting entries. The inventory balance sheet remains the same; only the location of the stock changes. The cost per unit stays the same, so there is no impact on your profit-and-loss statement.

Tips & common mistakes

  • Check warehouse locations: Make sure you select the correct source and destination warehouses. A transfer to the wrong location can create confusion in your physical inventory counts.
  • Verify quantities: Always confirm that the quantity you are transferring is actually available in the source warehouse before saving.
  • One transfer per session: Create a separate transfer for each source-to-destination route. If you need to move stock to multiple locations, create multiple transfer records.
  • Document transfers promptly: Record transfers close to when they actually occur so your system balance matches your physical location of stock.
